Mission Statement

The Government Documents/Information Departments of the libraries of the CONSORT Colleges of the Five Colleges of Ohio listed as follows:

The primary mission of these departments is to support the general collecting activities of the main libraries of their parent institutions which serve primarily the faculty, staff and students of each parent institution. All four institutions are Undergraduate Liberal Arts Colleges.

��In accordance with the requirements defined in the Instructions to Depository Libraries, Guidelines for the Depository Library System, and the Federal Depository Library Manual, these units also strive to serve the government information needs of the constituents of the U.S. Congressional Districts in which they are located and surrounding communities that may be part of other Congressional Districts. That obligation is shared with the other depositories in each Congressional District.

This map indicates an approximate location for each of the Federal depository libraries in Ohio. Blue dots indicate Depositories that are also part of CONSORT. Red dots indicate other depository libraries.� Note the concentration of Depositories on the I-75 and I-71 corridors and the relatively small availability of depositories in areas adjacent to the CONSORT institutions.�� Because of this distribution CONSORT libraries provide depository services to adjacent communities regardless of Congressional District.

Collection Development

The documents departments of the four CONSORT Colleges are currently working on a consolidated collection which will serve the collective needs of the three U.S. Congressional Districts. This consolidated collection is shelved primarily in SuDoc order at all four libraries. This Collection Development statement serves as an interim policy until details of the consolidated collection can be finalized.

General priorities and limitations for selection of government publications for the four institutions include but are not limited to:

1. Primary emphasis in collection development is support for the undergraduate academic programs at the four CONSORT Colleges, faculty research, and the needs of the surrounding communities and their Congressional Districts.
2. Availability of CONSORT (our combined catalog), The Five Colleges of Ohio Consortium, OhioLINK, OCLC and the excellent cooperation with the Regional Depository are all considered when making collection development decisions.
3. Selection or weeding decisions are made in consultation with collection development librarians, liaison librarians, departmental and community contacts in keeping with local collection development practice.
4. Final selection and weeding decisions are made by the depository librarian in consultation with the depository librarians at the other CONSORT Colleges. Factors for consideration include:
1. Selection (see also No. 5 - 9)

i. Relevance to the local patron

ii. Compatibility with the consortium�s total collections

iii. Degree of technicality

iv. Potential frequency of use and amount of shelf space required

v. Availability through cooperative networks

2. Weeding (see also No. 11)

i. All of the selection criteria

ii. Ephemeral material, not historically significant

iii. Damaged materials which are beyond repair

iv. Superseded, duplicates

5. Strong subject areas, both current and retrospective, will receive continuing support within the CONSORT Colleges. High use or historically important materials may be held at more than one location. Examples:
1. Subject area: Census
2. Historical: House Un-American Activities Committee
3. High Use: Statistical Abstract
6. Using both standard and non-standard selection tools, important materials that are either not selected or non-depository, will be acquired in support of the collection including commercial indexes. Examples:
1. Commercial and Government indexes
2. News media
7. Paper is preferred over microform for tangible materials in the permanent consolidated collection.
8. Electronic access is provided through the combined CONSORT Catalog.
9. Item selection is reviewed cooperatively and on an ongoing basis.
10. Materials are replaced or repaired as needed.
11. Superseding and weeding are done following the �List of Superseded Depository Documents,� GPO�s five year retention policy, and in accordance with the provisions of the �Depository Library Manual� after consultation within the consortium.
12. All four libraries have an open door policy.� Collections are open and available during all hours of operation.� Reference is universally available in person, online and via telephone.� Circulation of documents is in accordance with local circulation policies.
